The Daily Close Reports page gives you a complete end-of-day snapshot for your store -- sales totals, buy activity, labor costs, cash counts, and checklist completion. Use it to review any day's performance and spot discrepancies before they become problems.

Close Reports Dashboard

The Close Reports dashboard showing the calendar, recent reports list, and today's report detail.

Accessing Close Reports

  1. Open your admin panel and click Reports in the left sidebar.

  2. Select Close Reports from the menu.

  3. The page loads with today's report (if available) or the most recent report on file.

Note: Close reports are generated automatically at the end of each business day when a manager closes out the register and completes the closing checklist. If no report exists for today, the dashboard displays the most recent available report instead.

Page Layout

The Close Reports page is divided into two main areas:

Area

Location

Purpose

Calendar & Recent Reports

Left column

Navigate to any date; see the last 7 reports at a glance

Report Detail

Right column

Full breakdown of the selected day's data

Using the Calendar

The calendar widget in the upper-left corner shows the current month. Days that have a close report are marked with a colored dot indicator.

How to navigate:

  • Click any highlighted date to load that day's report

  • Use the left/right arrows to move between months

  • The calendar automatically fetches available dates when you change months

Date indicators:

  • Dot present -- A close report exists for that date

  • No dot -- No report was filed (store may have been closed, or the day was not yet closed out)

Recent Reports List

Below the calendar, the Recent Reports panel shows the last 7 reports in reverse chronological order. Each entry displays:

  • Date -- The report date

  • Net Sales -- Dollar amount of net sales for the day

  • Buys Count -- Number of buy transactions processed

  • Discrepancy Badge -- A warning indicator if the report has a cash variance or other issue

Click any entry in the list to load its full detail in the right column.

Tip: The discrepancy badge appears when a cash variance exceeds the normal threshold. This is a quick way to find days that need attention without opening each report individually.

Report Detail Sections

When you select a date, the right column loads the full report broken into clearly labeled sections.

Sales Summary

Four cards at the top provide the day's sales overview:

Card

What It Shows

Net Sales

Total sales after returns and adjustments

Gross Sales

Total sales before any deductions

Sales Count

Number of individual sale transactions

Avg Sale

Average transaction value (Gross Sales / Sales Count)

Buys

The Buys section tracks what your store purchased from customers that day:

Card

What It Shows

Buys Count

Number of buy transactions completed

Buy Cost

Total amount paid to customers

Buy Retail

Estimated retail value of items purchased

Outstanding

Amount still owed (e.g., store credit not yet paid)

The relationship between Buy Cost and Buy Retail gives you a quick read on the day's buying quality. A healthy ratio means you are acquiring inventory at good margins.

Labor

The Labor section appears when labor tracking is enabled for your store:

Card

What It Shows

Labor %

Labor cost as a percentage of net sales

Labor Cost

Total dollar amount spent on labor

Hours Worked

Total hours worked by all employees

Tip: Most resale stores target a labor percentage between 15-25%. If your labor percentage consistently exceeds 30%, consider adjusting staffing levels or reviewing scheduling.

Cash

The Cash section appears when cash management is enabled. It tracks register and safe activity:

Card

What It Shows

What to Watch

Paid In

Cash added to the register

Deposits, starting cash

Paid Out

Cash removed from the register

Buy payouts, bank drops

Variance

Difference between expected and actual cash

Should be $0; color-coded by severity

Safe Balance

Current safe total

Compare to expected levels

Variance color coding:

  • Green -- Zero variance (exact match)

  • Yellow -- Small variance (under $5.00)

  • Red -- Large variance (over $5.00) -- investigate immediately

Warning: A red cash variance means the actual cash count does not match what the system expected. Common causes include missed transactions, counting errors, or unrecorded paid-outs. Review the day's transactions to identify the source.

Checklists

The Checklists section shows the status of the day's opening and closing procedures:

Opening Checklist:

  • Shows whether the opening checklist was submitted

  • Displays the submitter's name

  • Includes any comments left by the opener

Closing Checklist:

  • Shows whether the closing checklist was submitted

  • Displays the submitter's name

  • Includes any closing comments

Task Summary:

  • Shows completed tasks vs total tasks (e.g., "8 / 10")

  • Color-coded: green if all tasks are done, yellow if some remain

Day Close Info:

  • Shows who officially closed the day

  • Includes any closing comments from the manager

Viewing Historical Reports

There are three ways to view a report from a past date:

  1. Calendar -- Click any date with a dot indicator

  2. Recent Reports list -- Click any entry in the sidebar

  3. Direct navigation -- The date is part of the URL, so you can bookmark or share specific report dates

When navigating to a date with no report, the system displays a message indicating no report is available for that date.

Understanding the Data

What Makes a "Good" Day?

Use these benchmarks as starting points (adjust for your store's size and market):

Metric

Healthy Range

Concern Threshold

Net Sales

At or above daily goal

More than 20% below goal

Labor %

15-25% of net sales

Above 30%

Cash Variance

$0.00

Any amount over $5.00

Buys Count

Varies by store

Zero buys on a regular business day

Avg Sale

Stable or growing

Declining trend over multiple days

Spotting Patterns

Review reports across multiple days to identify trends:

  • Declining net sales over consecutive days may indicate inventory, pricing, or traffic issues

  • Rising labor % without corresponding sales growth suggests overstaffing

  • Repeated cash variances point to training needs or process gaps

  • Missing checklists indicate accountability gaps in opening/closing procedures

Troubleshooting

No Report Shows for Today

  • The day has not been closed yet. A report is generated when a manager completes the closing process.

  • Check that the store's timezone is set correctly in store settings.

Report Shows Wrong Data

  • Reports reflect data as of the time the day was closed. Transactions entered after closing will appear on the next day's report.

  • Voided transactions after close do not retroactively update the report.

Calendar Shows No Dates

  • Verify you are looking at the correct month and year.

  • If the store is new, reports only exist from the date the store started using BuyerKiosk.
