The Rack Maintenance panel in the Workbook helps your team keep every rack on the sales floor looking its best. It tracks how long it's been since each rack was straightened, organized, and tidied up — then highlights which racks need attention so nothing gets overlooked.

The Rack Maintenance panel sits alongside your other Workbook panels like Tasks, Notes, and Backstock.

Finding the Rack Maintenance Panel

The Rack Maintenance panel is part of the Workbook page. To find it:

  1. Navigate to the Workbook from the sidebar

  2. Scroll down past your Tasks and Notes panels

  3. Look for the Rack Maintenance panel with the rack icon

The panel header shows a link icon that opens the full Floor Plan admin page for managers who need deeper reporting.

The Two Tabs

The panel has two tabs that organize your racks by urgency:

Tab

What It Shows

Needs Attention

Only racks that are overdue for maintenance (past their scheduled interval)

Racks

Every rack on your floor plan, sorted by urgency with a search bar

Needs Attention Tab

This is your priority view. It shows only the racks that have gone past their maintenance interval. Each rack displays:

  • Rack abbreviation — a short code shown in a colored circle

  • Rack name — the full name (e.g., "Cash Wrap", "Girls Rack 1")

  • Age badge — how many days since last maintenance (shown in red when overdue)

  • Mark Done button — the green checkmark to record maintenance

The Needs Attention tab highlights racks that are past due. The red age badge makes overdue racks easy to spot.

Tip: Check the Needs Attention tab at the start of each shift to see what needs to be done first.

Racks Tab

This tab shows all racks on your floor plan. It includes a search bar at the top so you can quickly find a specific rack by name.

Each rack in the list shows:

  • Rack abbreviation and name

  • Days since last maintenance (color-coded: green = fresh, amber = due soon, red = overdue)

  • Category — what product category is assigned to the rack (e.g., "Womens Bottoms Denim"). If a rack has multiple categories, it shows "Multiple (X)"

  • Mark Done button

The Racks tab shows every rack with a search bar for quick filtering.

Tip: Use the search bar to filter by rack name or category — handy when you are working in a specific zone.

Marking a Rack as Maintained

When you have straightened, organized, and tidied a rack, mark it as done:

  1. Find the rack in either tab

  2. Click the green checkmark button next to the rack

  3. The employee selector modal appears asking "Who maintained this rack?"

Select the team member who performed the maintenance. You can search by name and add optional notes.

  1. Select the team member who performed the maintenance (tap their photo or name)

  2. Optionally add maintenance notes describing what was done (up to 500 characters)

  3. If your store has double-check enabled, click Next: Select Auditor and choose a second team member who verified the work

  4. Confirm to complete

Tip: You can turn on the auditor double check in the Store Settings -> Store Configuration section.

After marking a rack as done:

  • The rack's age resets to 0 days

  • It moves out of the Needs Attention tab

  • The badge counts update automatically

Tip: Use the notes field to flag issues like broken hangers, missing signage, or racks that need repair — managers can see these notes in the reports.

Understanding the Color Coding

Rack age badges use colors to show urgency at a glance:

Color

Meaning

Green

Fresh — recently maintained and within the scheduled interval

Amber

Due soon — approaching the maintenance interval (75%+ elapsed)

Red

Overdue — past the scheduled maintenance interval

What Counts as "Maintenance"?

Rack maintenance typically includes:

  • Straightening all items on the rack so they face the same direction

  • Removing empty or broken hangers

  • Ensuring proper spacing between items

  • Checking that size organization is correct

  • Picking up any items that fell on the floor around the rack

  • Making sure price tags are visible

Your store manager sets the maintenance interval (how often each rack should be maintained) from the admin Floor Plan reports page.
