Customer Alerts let you flag customer accounts with important information that your team sees before completing a transaction. Whether you need to block a problematic seller with a NO BUY flag, warn staff about a difficult interaction, or note a loyal customer's positive history, alerts ensure your team has the context they need at the point of sale.

Overview

The Customer Alerts page is your central hub for viewing and managing every alert across all customers. You can access it from Admin > Customers > Customer Alerts.

At the top of the page, three stat cards give you a quick snapshot:

Stat Card

What It Shows

Total Alerts

The total number of active alerts across all customers

NO BUY Alerts

How many customers are currently flagged as NO BUY

Warnings

How many active warning flags exist

Below the stat cards, a searchable grid displays every alert in the system.

Alert Types

Each alert has a type that controls how it appears to your team and how it affects transactions.

Type

Badge Color

Purpose

NO BUY

Red

Prevents staff from buying from this customer. This is the strongest flag and will block the transaction.

Warning

Yellow/Orange

A caution flag shown to staff before they proceed. Does not block the transaction but requires acknowledgment.

Info

Blue

An informational note visible to staff. Use this for general context that does not require action.

Positive

Green

A positive note about the customer. Use this to highlight loyal customers or note good interactions.

Tip: Use NO BUY alerts sparingly and always include a clear comment explaining the reason. Your team needs to understand why a customer has been flagged.

Understanding the Alerts Grid

The alerts grid provides a sortable, searchable view of all alerts. You can click any column header to sort, or use the search bar to find specific alerts.

Column

Description

The alert type shown as a colored badge

The customer's internal ID number

License #

Adding an Alert from the Customer Alerts Page

This is the most common method when you need to create an alert and may not already be viewing the customer's profile.

  1. Navigate to Admin > Customers > Customer Alerts.

  2. Click the + Add Alert button at the top of the page.

  3. A modal window opens with a Driver's License lookup field at the top.

  4. Begin typing the customer's driver's license number. The system searches automatically as you type.

  5. If the customer is found, their name, phone number, and other details auto-populate in the form.

  6. If the customer is not found in the system, additional fields appear for First Name, Last Name, and Phone so you can create a new customer record along with the alert.

  7. Select the Alert Type from the dropdown (NO BUY, Warning, Info, or Positive).

  8. Enter a Comment explaining the reason for the alert. Be specific so your team understands the context.

  9. Click Save to create the alert.

Tip: When creating a NO BUY alert for a customer not yet in your system, the license lookup and new customer fields let you flag them before they ever complete a transaction at your store.

Adding an Alert from the Customer Detail Page

If you are already viewing a customer's profile, you can add an alert directly from their detail page using a guided wizard.

  1. Navigate to the customer's detail page by clicking their name from Search Customers or any customer grid.

  2. Locate the Buyer Alerts section on the customer detail page.

  3. Click the + Add Alert button in that section.

  4. A wizard modal opens and walks you through three steps:

    • Step 1 -- Select Alert Type: Choose from NO BUY, Warning, Info, or Positive. Each type is displayed as a large selectable card so you can clearly see your options.

    • Step 2 -- Enter Comment: Type a comment explaining the reason for the alert. Be descriptive enough that any team member will understand the context.

    • Step 3 -- Preview and Confirm: Review the alert type, the customer's information, and your comment before finalizing.

  5. Click Confirm to save the alert.

Tip: The wizard approach on the customer detail page is ideal when you are already reviewing a customer's history and want to quickly flag something without leaving the page.

Editing an Alert

  1. Navigate to Admin > Customers > Customer Alerts.

  2. Find the alert you want to modify using the search bar or by scrolling the grid.

  3. Click the Edit button in the Actions column for that row.

  4. Update the alert type, comment, or other details as needed.

  5. Click Save to apply your changes.

Deleting an Alert

  1. Navigate to Admin > Customers > Customer Alerts.

  2. Find the alert you want to remove.

  3. Click the Delete button in the Actions column for that row.

  4. A confirmation dialog appears asking you to verify the deletion.

  5. Confirm to permanently remove the alert from the customer's account.

Tip: Deleting a NO BUY alert immediately allows staff to buy from that customer again. Make sure you intend to lift the restriction before confirming.

Troubleshooting

I cannot find a customer when typing their driver's license number in the Add Alert modal. The lookup requires an exact or partial match on the license number as stored in the system. Double-check the number for typos. If the customer has never sold to your store, they may not exist in your database yet. Use the additional fields that appear to create a new customer record alongside the alert.

An alert is not showing up for staff during transactions. Verify the alert exists on the Customer Alerts page and that the correct customer is associated. Check that the alert type is set appropriately. If you recently created it, ask the staff member to refresh their screen.

I accidentally deleted an alert. Deleted alerts cannot be recovered. You will need to recreate the alert using either of the two methods described above. Be sure to include the original comment and select the correct alert type.

The stat cards show different numbers than what I see in the grid. The stat cards reflect all alerts in the system, while the grid may be filtered by a search term. Clear the search bar to see all alerts and verify the counts match.

I want to change a NO BUY alert to a Warning instead of deleting it. Use the Edit button on the alert row to change the alert type. This preserves the original comment and date while downgrading the severity.
