The Reconciliation page is your periodic accuracy check — it walks through a date range, compares your BuyerKiosk daily-close totals against what's actually in QuickBooks Online for each day, and reports any variance.

Reconciliation overview

Date range, run reconciliation, see per-day variance. The page is mostly empty until you run a check.

Who can use this: Admins only. The Manager, Shift Lead, Buyer, and Cashier roles don't have QuickBooks access.

Where to find it

From the sidebar: QuickBooks > Reconciliation. Direct URL: /admin/{typeNum}/quickbooks/reconciliation.

The header subtitle shows your Last reconciled timestamp so you know when the check was last run.

When to use it

Reconciliation is not a daily-ops tool — it's a periodic accuracy check. Common cadences:

  • Monthly — at the close of each accounting period, verify the month's QBO totals match DRS source data.

  • Quarterly — before quarterly statements or tax filings.

  • After any mapping change — to catch any "did the change post correctly?" issues.

  • After an outage or restore — to confirm no entries were silently lost.

For daily operations, the Sync Log and Dashboard are the right tools.

Running a reconciliation

Filter toolbar
  1. Set the From and To dates. Default is the last 30 days; pick whatever range matters (e.g. a calendar month).

  2. Click Run reconciliation.

The system then walks through each day in the range, in chronological order:

  • Fetches the BuyerKiosk close totals for that day

  • Queries QuickBooks Online for the matching journal entry (by DocNumber: BK-{typeNum}-{yyyymmdd})

  • Compares the totals and computes variance

A progress strip shows live progress through the loop — typically a few seconds per day for cached QBO accounts, longer for ranges that span many uncached days.

Reading the variance report

When the reconciliation finishes, the grid populates with one row per day:

Column

Meaning

Date

Business date

DRS Total

Sum from your daily close

QBO Total

Sum from QuickBooks for the matching JE

Variance

Difference (positive = DRS higher; negative = QBO higher)

Status

OK (within tolerance), Variance (mismatch), Missing (no JE found in QBO), No data (DRS had no close)

Days within the configured variance tolerance show as OK. Days outside it (or missing entirely) are flagged.

What variance means

A perfect day reconciles to $0.00. Real days often won't — common variance causes in order of likelihood:

  1. Voided JE — you voided a posted entry; the QBO total is now $0 but DRS still shows the original close. This is correct behavior — variance just reflects the void.

  2. Mid-period mapping change — you changed a mapping after the entry posted. Earlier days used the old mapping; later days use the new one. Variance falls out of the difference.

  3. Direct QBO edits — someone edited the journal entry directly in QuickBooks (without going through BuyerKiosk). Always investigate these.

  4. Missing data — the day's close report had errors and the entry never staged. Status will be "Missing" — re-stage via Sync Log if you have the source data.

Export

Click Export CSV in the toolbar to download the current variance report as a CSV file. Hand to your accountant or bookkeeper for period close.

What's next

  • Sync Log — re-stage a date with no QBO entry.

  • Audit Log — investigate when something changed and who did it.

  • Account Mapping — fix mapping issues uncovered by reconciliation.
