Weekly Summary
The top of the page displays key metrics for the selected period:
Metric | Description |
Employees | Number of employees with time entries |
Total Hours | Combined hours across all employees (shown as |
Regular | Standard (non-overtime) hours |
Overtime | Hours exceeding overtime thresholds |
Double Time | Hours qualifying for double-time pay (state-specific) |
Total Pay | Estimated payroll cost for the period |
Tip: In 2-week view, totals display with two decimals so the KPI numbers line up exactly with the per-row Wk 1 / Wk 2 / Total columns. The 1-week view uses one decimal for a cleaner read.
Pay Period View (1 Week vs. 2 Weeks)
Use the 1 Week / 2 Weeks toggle to the right of the date navigation to switch between a single-week view and a two-week pay-period view. Both views read the same underlying time data — only the aggregation and column layout change.
The header in 2-week mode shows "Pay Period of {date}" with the full 14-day range and the 2 Weeks button active.
When to use each view
View | Best for |
1 Week | Day-to-day review, approving timesheets, editing punches, comparing scheduled vs. actual |
2 Weeks | Running a biweekly pay period, exporting payroll, seeing Week 1 and Week 2 side by side |
What changes in 2-week view
Header reads
Pay Period of {period start, Year}with the full 14-day range underneath.Navigation arrows still step one week at a time, so you can slide the period start forward or back without skipping a pay cycle.
Employee table columns become:
Employee,Wk 1 Hours,Wk 2 Hours,Total Hours,OT,Total Pay,Status. TheScheduled,Actual (Gross),Net (Payroll),Variance,Break, andActionscolumns are hidden — those are only meaningful for a single week.Status badge reflects both weeks:
Approvedonly shows when both weeks are approved; otherwise you'll see{N} Pending(where N is 1 or 2), orExportedonce both weeks have been marked exported.Approve All is hidden — approval still happens one week at a time from the 1-week view (or from the employee detail page).
Export CSV is enabled whenever there is any data in the period. The file still contains only approved timesheets, and you'll be warned about anyone who isn't approved yet.
Tip: Use 2-week view to quickly spot employees whose hours look uneven across the pay period — for example, 38 hours in Week 1 and 6 hours in Week 2 is often a missed-punch warning.
Filtering Timesheets
Use the tab filters to quickly find what you need:
Tab | Shows |
All | Every employee with time entries |
Pending | Timesheets awaiting approval |
Approved | Already-approved timesheets |
Overtime | Employees with overtime hours |
Employee Timesheet Table
The columns vary depending on the pay-period view:
1-Week view
Column | Description |
Employee | Name and position |
Scheduled | Hours they were scheduled to work |
Actual (Gross) | Total clocked time, from clock-in to clock-out — includes unpaid breaks. This is what's compared against the schedule for Variance. |
Net (Payroll) | The hours actually paid — unpaid breaks removed. This is the number that appears on the CSV payroll export. |
Variance | Difference between scheduled and gross hours (positive = worked more) |
Break | Unpaid break time deducted from gross to arrive at net |
OT | Overtime hours for the week |
Pay | Estimated pay for the week |
Status | Pending, Approved, or Exported |
Actions | Approve or view detail |
A yellow ? N notes badge next to an employee's name means they left notes on their punches that week — for example, asking you to adjust a late clock-in. It appears in both the 1-week and 2-week views.
Tip: The table shows both Actual (Gross) and Net (Payroll) so you can see total clocked time and actual paid hours side by side. The relationship is simple: Actual (Gross) − Break = Net (Payroll). The Net (Payroll) column is the figure that matches your CSV export — so if the on-screen hours ever look higher than the exported file, that's the unpaid break time being deducted, not an error.
2-Week view
Column | Description |
Employee | Name and position |
Wk 1 Hours | Net payroll hours for the first week of the period |
Wk 2 Hours | Net payroll hours for the second week |
Total Hours | Wk 1 + Wk 2 (net payroll hours, not gross) |
OT | Overtime hours across the full period |
Total Pay | Estimated pay for both weeks combined |

Approving Timesheets
Approve Individual
Click the approve button on a specific employee's row to approve their timesheet for the week.
Approve All
Click Approve All in the toolbar to approve all pending timesheets at once. This button is only active when there are pending timesheets.
Unlock an Approved Timesheet
If you need to make changes after approval, open the employee's timesheet detail page (click their name) and click the yellow Unlock button next to Approve. The timesheet returns to Pending so you can edit punches, then re-approve when finished.
Warning: Once a timesheet has been Exported, it can no longer be unlocked — the Unlock button disappears and the system refuses the change. If an exported week needs a correction, contact [email protected].
Viewing Timesheet Detail
Click an employee's name or the detail button to open their full timesheet. The detail view shows:
Daily breakdown — Each day with clock-in, clock-out, and break times
Individual punches — Every clock event with timestamps
Scheduled vs. actual comparison for each day
Notes and overrides — Any manager notes or manual adjustments
Employee notes — Messages employees left when clocking in or out
Reviewing Employee Notes
When employees clock in or out from the Workbook, they can leave an optional Note for your manager — for example, "Forgot to clock in — got here at 9:00." This gives you a written record of every adjustment request when you review payroll.
Where notes appear
Location | What you see |
Timesheets dashboard | A yellow ? N notes badge next to the employee |
Timesheet detail | A yellow note box under that day's punches with the punch type, time, and note; a ? icon on the punch (hover to read) |
Edit Punch dialog | An Employee note banner at the top |
Punch Log | The note listed with the punch |
Acting on a note
Open the employee's timesheet and find the note under the day's punches.
Click the punch the note refers to (or Add Punch if one is missing).
Set the corrected time and enter your edit note, e.g. "Adjusted per employee note."
Save, then approve the timesheet as usual.
Tip: Notes never change any times on their own. The employee's note and your edit note together document what was requested and what you changed.
Editing Time Punches
From the timesheet detail view, you can:
Edit a Punch
Click the edit icon next to a punch entry
Adjust the time
Add a note explaining the change (required for audit trail)
Click
Save
Add a Manual Punch
Click
Add PunchSelect the punch type (Clock In, Clock Out, Break Start, Break End)
Enter the time
Add a note explaining why the manual punch is needed
Click
Save
Note: Punch times must be in the past. The system rejects a future-dated punch time ("Punch time is in the future — check the date") — this protects you from accidentally saving a punch on the wrong month or day.
Delete a Punch
Click the delete icon next to a punch entry
Confirm the deletion
Add a note explaining why
Tip: All punch edits are recorded in the Audit History for accountability.
Exporting Timesheets
Only approved timesheets are exported. Pending timesheets are never included in a payroll file, so approve every week you want to pay before you export. If someone worked during the range but their timesheet isn't approved, the export stops and lists them so nobody goes unpaid by accident. You can approve them and try again, or confirm to export without them.
Important: Timesheet weeks follow your store's Work Week Start Day, set under Scheduling > Settings. If your weekly or biweekly pay period does not start on Monday (for example, a biweekly payroll that runs every other Thursday), set Work Week Start Day to match before you export.
Timesheets has two export buttons in the toolbar:
Button | Use it when… |
Export CSV | You want a one-click export of whatever is currently on screen (the visible 1-week or 2-week period). |
Custom Export… | You need a specific range: several weeks in one file, or exact pay period dates if you pay twice a month. |
Quick Export (current view)
Click Export CSV to download the visible period. In both views the file contains the approved and already-exported timesheets for that period, and approved timesheets are marked Exported afterwards.
View | What it exports |
1 Week | The current week |
2 Weeks | The full 14-day pay period, with a column group for each week |
The CSV includes employee name, regular, overtime and double-time hours, and total pay.
Tip: You can re-export a week after it has been exported, for example if you lost the file. Re-exporting pulls the same numbers again without changing anything.
Custom Export…
Click Custom Export… (sliders icon) to choose the range yourself.
The Custom Export window for weekly and biweekly stores, with quick-range buttons, date pickers and a live preview of the range.
Weekly and biweekly stores
Preset | Effect |
Current view | Matches the visible period (1 or 2 weeks) |
1 week / 2 weeks / 4 weeks | Sets the range to that many weeks, starting on the |
Pick any date inside the start week and any date inside the end week. The text under each picker shows the real week it resolves to, and the blue box shows {N} weeks selected. The end must be on or after the start, and one export can cover at most 26 weeks.
Stores paid twice a month (1st–15th and 16th–end of month)
If you pay twice a month, turn on Scheduling > Settings > Pay Period > Twice a month. Custom Export then works with exact dates instead of whole weeks:
The window shows First day and Last day, already filled in with your most recent pay period that has ended.
Latest pay periodandPrevious pay periodbuttons switch between periods.A pay period can only be exported once its last day has arrived. You can export on the evening of the 15th or the last day of the month.
Custom Export for a store paid twice a month, set to the Oct 1–15 pay period.
The file has one row per employee with the period's regular, overtime and double-time hours, total hours and total pay, plus a column with each day's hours so you can check them.
How weeks that cross the 1st or 16th work:
A work week that crosses the start or end of the pay period is split by day. Only the days inside the pay period are paid in this file.
Overtime is still counted by work week, as the law requires. If someone goes over 40 hours in a week that crosses the period edge, the overtime is paid in whichever pay period the hours happened in.
A week that crosses the end of the pay period stays Approved (not Exported) after the export, because the rest of it will be paid next period. It is marked Exported when the next period's export covers its last day.
Approving a week that is still going. Pay periods often end in the middle of a work week. For example, if your week starts Sunday and the 15th is a Sunday, approve that week on the 16th and export the 1st–15th as usual. When you export the next pay period, BuyerKiosk will ask you to unlock and re-approve that week, because its later days weren't finished when it was first approved. This makes sure every day is reviewed before it is paid.
Tip: Approve a week only after the pay period's last day is over. If a week is approved before then, the export asks you to unlock and re-approve it, so hours worked later that day aren't missed.
Mark as exported
Option | Default | What it does |
Mark timesheets as exported after download | On | Flags the approved timesheets in the file as Exported and records the export in the audit trail. Exported timesheets are locked for good. Uncheck it for a preview-only download. |
Messages you might see
Message | What to do |
employee(s) worked this period but their timesheet is not approved | Approve those employees, or confirm to export without them. |
timesheet(s) have a missing clock-out | Fix the open clock-ins, then export. |
approved before all of their days in this pay period had ended | Unlock and re-approve the listed weeks, then export. |
approved timesheet(s) no longer match their punches | Punches changed after approval. Unlock and re-approve the listed weeks, then export. |
this pay period runs through …, which hasn't happened yet | Wait until the pay period's last day, then export. |
Tip: The downloaded .csv file opens directly in Excel or Google Sheets and can be imported into payroll systems such as QuickBooks or ADP.
Troubleshooting
Missing Time Entries
Check if the employee clocked in using the correct store
Verify their clock PIN is set up in Team Members
Check the Audit History for any deleted punches
Incorrect Hours
Review individual punches for missed clock-outs (the system may have auto-clocked them out)
Check for overlapping punches from breaks
Use the edit function to correct any errors
Dashboard Hours Don't Match the Exported CSV
This is expected — the two columns measure different things. Actual (Gross) on the dashboard is total clocked time (clock-in to clock-out, breaks included), while the CSV exports Net (Payroll) hours with unpaid breaks removed. The difference is exactly the Break column: Actual (Gross) − Break = Net (Payroll). Compare the CSV against the Net (Payroll) column and they will match.
